A universal GST tax invoice template suitable for any registered business in India. Includes all 16 mandatory fields as per Rule 46.
This standard GST tax invoice template is the most versatile invoicing document for Indian businesses registered under the Goods and Services Tax regime. Designed to comply with Rule 46 of the CGST Rules, 2017, it includes all 16 mandatory fields required for a valid tax invoice. The template features a clean, professional layout with clearly separated sections for supplier and recipient details, item-wise breakdown with HSN/SAC codes, and a comprehensive tax calculation area showing CGST, SGST, or IGST as applicable based on whether the transaction is intra-state or inter-state. The invoice number field follows the recommended format of a maximum 16-character alphanumeric code, which must be unique and sequential for each financial year. The template also includes a section for terms and conditions, bank details for payment, and a digital signature area. Whether you are a manufacturer, trader, wholesaler, or service provider, this template provides a solid foundation that you can customise for your specific business needs. It has been reviewed by practising chartered accountants to ensure accuracy of tax calculation formulas and compliance with the latest GST amendments.
This template is designed for any GST-registered business in India that needs to issue tax invoices for the supply of goods or services. It is particularly useful for small and medium enterprises that do not use dedicated billing software but need to maintain GST-compliant documentation. Whether you are a sole proprietor, partnership firm, LLP, or private limited company, this template covers all the essentials. It works for both product-based and service-based businesses, with support for HSN codes (goods) and SAC codes (services).
Step 1: Open the template in your preferred format (Excel, Word, or PDF editor). Step 2: Replace the placeholder business details at the top with your actual business name, address, GSTIN, state code, and contact information. Step 3: Add your company logo in the designated area (top-left corner). Step 4: For each line item, enter the product or service description, HSN/SAC code, quantity, unit price, and applicable tax rate. The template will auto-calculate the tax amounts if using Excel. Step 5: Select the appropriate tax type - choose CGST+SGST for intra-state supply (within the same state) or IGST for inter-state supply (different states). Step 6: Fill in the recipient details including their name, address, GSTIN (if registered), and state code. Step 7: Add your bank details in the payment section for electronic transfers. Step 8: Update the invoice number following your sequential numbering system. Step 9: Add any specific terms and conditions relevant to your business. Step 10: Save and send to your customer via email or WhatsApp.
As per Section 31 of the CGST Act, a tax invoice must be issued before or at the time of supply of goods, or within 30 days of supply of services. The invoice must contain all fields prescribed under Rule 46, including a consecutive serial number unique to a financial year. For B2B transactions above Rs 2.5 lakh, the supplier must also generate an e-invoice on the IRP portal. Failure to issue a proper tax invoice can result in penalties under Section 122 and denial of input tax credit to the recipient.
