You need to send a payment reminder. You open WhatsApp, stare at the blank message, and think: "How do I say 'pay me' without sounding rude?"
You are not alone. Most business owners struggle with the exact wording. Too soft and it gets ignored. Too harsh and you damage the relationship. The perfect payment reminder is professional, specific, and makes it easy for the buyer to pay immediately.
We have compiled 15 templates that cover every scenario - from a gentle pre-due nudge to a final overdue notice. Each template is ready to copy-paste, with placeholders you fill in. We have included WhatsApp, SMS, and email versions, plus Hindi templates for the Indian market.
How to Use These Templates
Before you start copying, here are three rules that make any template 3x more effective:
Always include the exact amount, invoice number, and due date. 'Please clear your dues' gets ignored. '₹45,000 due on 28 March' gets paid.
Every reminder should have a clickable UPI link or bank details. Remove every possible friction point between reading the reminder and making the payment.
Friendly before due date, direct on the due date, firm after overdue. Never start aggressive - always give the buyer a chance to pay gracefully.
These templates work best when you add a personal touch. If you know the buyer well, start with "Hope the Diwali season is treating you well" or "Heard your new store is doing great." A personal line before the business ask dramatically increases response rates.
Pre-Due Reminders (Before the Payment is Due)
These are the most important templates. Sending reminders before the due date accounts for 70% of on-time payments. Most businesses skip this step entirely - do not make that mistake.
Template 1: The Early Heads-Up (7 days before)
WhatsApp / SMS:
Hi [Name] ji, this is a friendly reminder that your payment of ₹[Amount] for [Invoice/Order Reference] is due on [Date]. You can pay directly via UPI here: [Payment Link]. Thank you for your continued partnership!
When to use: First touch. Sets the expectation without any pressure. Works best for regular buyers who usually pay on time.
Template 2: The Specific Nudge (3 days before)
WhatsApp / SMS:
Hi [Name], quick reminder - your payment of ₹[Amount] is due in 3 days ([Date]). To make it easy, here is your UPI payment link: [Payment Link]. Let me know if you have any questions about the invoice.
When to use: Second touch. Adds urgency with the "3 days" countdown. The "any questions" line gives the buyer an opening to raise disputes before the due date.
Template 3: The Eve Reminder (1 day before)
WhatsApp / SMS:
Hi [Name], just a heads-up - ₹[Amount] is due tomorrow ([Date]). Tap to pay via UPI: [Payment Link]. Thank you!
When to use: Short, direct, final pre-due reminder. No fluff needed at this stage.
Due Date Reminders
Template 4: The Due Date Reminder (on the day)
WhatsApp / SMS:
Hi [Name], your payment of ₹[Amount] is due today. Please complete the payment at your earliest convenience. UPI link: [Payment Link]. Thanks for your prompt attention!
When to use: The day-of reminder. Clear and professional. The phrase "earliest convenience" is firm but polite.
Template 5: The Due Date with Context
WhatsApp / SMS:
Hi [Name], this is regarding invoice [Invoice Number] for ₹[Amount], due today ([Date]). To avoid any delay in your next order processing, kindly clear this payment today. Pay via UPI: [Payment Link].
When to use: For buyers who have pending orders or ongoing business. The "next order processing" line creates a natural business incentive to pay.
Overdue Reminders (After the Due Date)
Once a payment is overdue, your tone should shift from friendly to professional. You are no longer reminding - you are following up on a missed commitment. Stay polite, but be direct.
Template 6: The 1-Day Overdue
WhatsApp / SMS:
Hi [Name], your payment of ₹[Amount] was due yesterday ([Date]). Kindly arrange payment today. If already paid, please share the payment confirmation. UPI link: [Payment Link].
When to use: First overdue touch. The "if already paid" line is important - it gives the buyer an easy out if they genuinely forgot to inform you.
Template 7: The 3-Day Overdue
WhatsApp / SMS:
Hi [Name], this is a follow-up regarding ₹[Amount] which was due on [Date] and is now 3 days overdue. Please prioritize this payment. Pay here: [Payment Link]. If there is any issue with the invoice, let me know so we can resolve it quickly.
When to use: Second overdue touch. Acknowledges that there might be a dispute while still pressing for payment.
Template 8: The 7-Day Overdue (Escalation)
WhatsApp / SMS:
Hi [Name], your payment of ₹[Amount] has been overdue for 7 days (due: [Date]). This is affecting our accounts and we need this cleared urgently. Please make the payment today: [Payment Link]. If you are facing any difficulty, call me at [Your Number] so we can discuss a payment plan.
When to use: Serious follow-up. Mentions impact on your business. Offers a payment plan as an alternative - this often works for buyers who want to pay but cannot manage the full amount at once.
Template 9: The Final Notice (14+ days overdue)
WhatsApp / SMS:
Hi [Name], despite multiple reminders, your payment of ₹[Amount] (due: [Date]) remains outstanding for [X] days. This is our final reminder. Please settle this amount immediately: [Payment Link]. We value our business relationship but cannot continue extending credit with overdue balances. For any concerns, call [Your Number].
When to use: Last written reminder before a phone call or in-person visit. The language is formal and signals that this is a serious matter.
Hindi / Hinglish Templates
Over 60% of Indian SMB owners prefer communicating in Hindi or Hinglish. A payment reminder in the buyer's preferred language gets 40% better response rates than English-only messages.
Template 10: Hindi Pre-Due Reminder
[Name] ji, aapka ₹[Amount] ka payment [Date] ko due hai. Samay par payment ke liye UPI link: [Payment Link]. Dhanyavaad!
Template 11: Hindi Overdue Reminder

Special Situation Templates
Template 13: Partial Payment Acknowledgment
Hi [Name], thank you for the partial payment of ₹[Partial Amount]. The remaining balance of ₹[Remaining] is still pending. Kindly clear the balance by [New Date]. UPI link: [Payment Link].
When to use: When a buyer pays part of the amount. Always acknowledge what they paid before asking for the rest.
Template 14: Payment Received Confirmation
Hi [Name], we have received your payment of ₹[Amount]. Thank you for the prompt payment! Your account is clear. Looking forward to continued business.
When to use: Always send a confirmation. It builds trust and trains buyers to associate paying you with a positive response.
Template 15: Multiple Outstanding Dues Summary
Hi [Name], you have [Count] pending payments totaling ₹[Total]:
- ₹[Amount1] - due [Date1] ([Status1])
- ₹[Amount2] - due [Date2] ([Status2])
- ₹[Amount3] - due [Date3] ([Status3])
Please review and clear at your earliest. Pay all via: [Dashboard Link].
When to use: For buyers with multiple outstanding invoices. A summary is clearer than individual reminders for each.
