The United Arab Emirates introduced Value Added Tax at a standard rate of 5% on January 1, 2018, under Federal Decree-Law No. 8 of 2017. This UAE tax invoice template is fully compliant with the FTA (Federal Tax Authority) requirements and is designed for businesses operating in Dubai, Abu Dhabi, Sharjah, Ajman, Umm Al Quwain, Ras Al Khaimah, and Fujairah. The UAE VAT system is simpler than most countries with only three categories: standard-rated supplies at 5%, zero-rated supplies (international transport, exports, first sale of residential properties within 3 years, specific education and healthcare services), and exempt supplies (certain financial services, residential property, bare land, local public transport). The template includes the mandatory Tax Registration Number (TRN) field - a 15-digit number issued by the FTA to every registered business. The TRN must appear on every tax invoice. For tax invoices (supplies exceeding AED 10,000), the template includes all fields mandated by Article 59 of the Executive Regulation: the words "Tax Invoice", supplier TRN and details, buyer TRN and details (for registered businesses), unique sequential invoice number, date of issue, date of supply if different, description of goods or services, unit price, discount (if any), amount exclusive of VAT, VAT rate, VAT amount in AED, and total amount payable. For simplified tax invoices (supplies up to AED 10,000), fewer details are required. The template supports both English and Arabic layouts as per FTA guidelines, and includes the option to display amounts in both AED and a secondary currency.
UAE-registered businesses in all seven emirates, freelancers with a UAE trade licence, free zone companies, mainland businesses, service providers, retailers, restaurants, contractors, consultants, and any business registered for VAT with the Federal Tax Authority issuing tax invoices in the UAE.
Step 1: Enter your business/trade name, address, and 15-digit TRN (Tax Registration Number). Step 2: Add your trade licence number and emirate. Step 3: Enter the invoice number (sequential) and date. Step 4: Enter client details including their TRN for B2B invoices. Step 5: For each item, enter description, quantity, unit price, and VAT rate (5%, 0%, or Exempt). Step 6: If offering a discount, enter the discount amount per line. Step 7: The template calculates VAT and total amounts. Step 8: For dual currency display, select the secondary currency and exchange rate. Step 9: Add payment details including bank name, IBAN (AE format), and SWIFT code.
UAE VAT registration is mandatory for businesses with taxable supplies exceeding AED 375,000 per annum. Voluntary registration is available at AED 187,500. Tax invoices must be issued within 14 days of the date of supply. Invoices must be retained for at least 5 years (15 years for real estate). The FTA conducts audits and penalties for non-compliance include AED 5,000 for each missing mandatory field on a tax invoice. Credit notes must be issued for any adjustments to previously issued invoices. E-invoicing is being phased in and businesses should be prepared for mandatory e-invoicing in the near future.
